Terms and Conditions

​Welcome to Pont Tyweli Glamping.  These terms and conditions govern the use of our glamping site, and by making a booking or staying with us, you agree to comply with these terms.  We reserve the rights to amend the website including these terms at any time without notice.

We aim to provide a safe, enjoyable, and luxurious experience for our guests, and we kindly ask that you read the following carefully.

1. Bookings

 

1.1 Eligibility: Guests must be at least 18 years old to make a booking. 

​

1.2 Payment: A non-refundable deposit of 50% is required at the time of booking to secure your reservation. The balance is due 4 weeks before your arrival. We will cancel your booking if you do not pay the balance within 7 days of us seeking the final payment from you.

 

1.3 Confirmation: A booking is only confirmed once you receive a booking confirmation email from us and there is a contract between you and Pont Tyweli Glamping Limited. The price of the booking is as confirmed in the email confirmation.


1.4 Group Bookings: Each dome has been set up for four people - if you are booking for a bigger group of people, please contact us directly - your booking may be subject to additional terms.

1.5 Minimum Stay: We generally operate a two night minimum stay. 

​

1.6 Provision of Information: Once you make a booking with us, we will need to ask for certain information (such as number of guests, guest details). We need this information for the purposes of your stay and to maintain records for compliance with regulations (see our privacy policy for more information). We reserve the right to cancel your booking if you unreasonably refuse to provide us with this information on request.

2. Cancellation Policy

 

2.1 Cancellation by Guest: Please contact us if you need to cancel your booking. Your booking is cancelled when we confirm the cancellation in writing. If you cancel at any time up to 4 weeks before the date of arrival, we will retain the deposit that you have paid us. If you cancel any time less than 4 weeks before the arrival date, we will retain the full payment and if you have not yet paid the balance, the balance will be due and payable.

2.2 Cancellation by Us: We reserve the right to cancel your booking in the event of unforeseen circumstances (e.g., extreme weather, government restrictions). In such cases, we will offer a full refund or alternative dates (at our discretion). In these circumstances we will not be liable for any other losses you incur and we recommend that you take out holiday insurance for you visit.

 

2.3 No-Shows: Failure to arrive on the scheduled date without prior notice will result in forfeiture of the booking, with no refund.

3. Check-In and Check-Out

 

3.1 Check-In: Check-in is from 3:00 PM on the day of arrival. If you expect to arrive later than 6:00 PM, please notify us in advance. We will provide parking in our car park for one car per unit. If you would like to bring more than one car please contact us to discuss this in advance. 

​

3.2 Check-Out: Check-out is by 10:00 AM on the day of departure. Unless you have booked a late check-out in advance, any failure to leave by 10.00 AM will incur additional charges.

 

3.3 Early Check-In / Late Check-Out: We may be able to accommodate early check-in or late check-out for an additional charge - please contact us to discuss this.

 3.4 Early Departures: No refunds will be issued for early departures.

4. Glamping Site Rules

 

4.1 Noise: Our site is designed with peace and quiet in mind. We kindly ask all guests to respect the peaceful nature of the surroundings and be mindful of noise, especially between 8:00 PM and 7:00 AM.

​

4.2 Children: Parents/guardians are responsible for supervising children at all times. Our site includes natural areas, steep ancient woodland and open spaces, so please ensure children remain safe and adhere to all safety instructions. 

​

4.3 Pets: We allow pets in designated accommodation, subject to a pet fee. Pets must be kept on a lead and supervised at all times. Owners are responsible for cleaning up after their pets. 

​

4.4 Fires: Open fires are only permitted in designated fire pits, log burners and hot tubs. A BBQ is situated in the outdoor cooking area for each dome and all equipment must be used in accordance with safety guidelines. Fires are not permitted other than in the designated fire pits, log burners and hot tubs. Fires must not be left unattended. Only wood supplied by Pont Tyweli Glamping can be used - some wood will be provided when you arrive and additional wood can be purchased on site.

4.5 Smoking: We do not permit smoking in our glamping domes. This includes the use of E-cigarettes inside our domes. Smoking is permitted outside but must be at a safe distance from the domes and other flammable materials and any waste must be safely and appropriately disposed of.

 

4.6 Inappropriate Conduct: We reserve the right to refuse entry or instruct people to leave site for any reason (such as inappropriate behaviour or failing to comply with the terms and conditions). In such cases no refund will be issued.

5. Damage 

 

5.1 Damage: A £250 damages deposit will be automatically pre-authorised on your payment card on arrival when you check in (on the card that you booked with). Guests are responsible for any damages caused to the property, accommodation, or equipment during their stay. Please report any damages to us immediately. Charges may apply for repair or replacement and will be withheld from the damages deposit.

5.2 Respecting Nature: As our site is located in a natural setting which includes ancient woodland, we kindly request that guests avoid littering and treat the environment with care. Wildlife and plants should not be disturbed. 

​

5.3. Valuables: Our site is a safe and peaceful environment but you are solely responsible for your own valuables and should take them with you when you leave the site. We are not responsible for any valuables that you leave unattended.

​

6. Health and Safety

​

6.1 Access: Our domes are located on a hill top which is accessed via a path through the woods. There is step access and uneven ground outside of the domes. If you have any concerns about accessing the site or the needs of your group, please reach out to us so that we can discuss this with you. 

​

6.2 Safety Instructions: For your safety, please follow all safety instructions provided on-site, including signage and staff advice.

​

6.3 Weather Conditions: While glamping is an outdoor experience, we encourage guests to be prepared for changing weather conditions. In extreme weather situations, we may reschedule your stay for safety reasons. We may also shut certain paths and parts of the site for your safety in bad weather.

7. Use of Add-Ons

 

7.1 Add-On Services: Guests may hire add-ons such as pizza ovens, projector screens and food packs. Where equipment is hired, please handle these items responsibly and follow the usage instructions provided.

​

 7.2 Damage to Add-Ons: Any damages to hired add-ons will be charged to the guest.

​

8. Liability

 

8.1 Personal Belongings: We are not responsible for any loss or damage to personal belongings during your stay. Please ensure valuables are secured. 

​

8.2 Injury or Illness: We take reasonable care to ensure the safety of our guests, but we do not accept liability for accidents, injuries, or illnesses that occur during your stay, except where caused by our negligence.

​

9. Privacy Policy

 

We respect your privacy and will only collect, use, and store your personal information in accordance with applicable data protection laws. Please refer to our Privacy Policy for full details on how we manage your data.

​

10. Force Majeure

 

We shall not be held liable for any failure to perform our obligations where such failure is caused by events beyond our reasonable control, including but not limited to natural disasters, strikes, pandemics, or governmental restrictions.

11. Complaints

 

We aim to provide an exceptional experience for all our guests. If you encounter any issues during your stay, please inform us immediately so we can resolve the matter as quickly as possible via phone. Any formal complaints must be submitted in writing to ponttyweliglamping@gmail.com.

12. Governing Law

 

These terms and conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
